Students

Emergency Work Requests:
    Emergency: Any situation posing immediate danger to life, property and/or the environment. Examples:

  • Overflowing Toilet, Sink, Drinking Fountain

  • Key Stuck/Broken in Door

  • Prolonged Power Outage

To Submit a Work Request:

  • Select Submit a Residence Hall Request on the left side of the screen.

  • Select Building where you are experiencing the issue you are reporting.

  • Select Area where the work will need to be performed.

  • Enter First and Last Name of the person requesting the work to be performed.

  • Enter the contact persons 10 Digit Phone Number.

  • Enter the contact persons Full Email Address (_____@uwlax.edu).

    • Note: This is the email address acceptance verification will be sent to.

  • Enter your service Request in detail.

    • Be as descriptive as possible. Items to include are: When the room is available, detailed location in room, detailed problem you are reporting.

  • Press the Submit button. Please only click on this one time.

  • A new page will appear. This will have your Request # along with the details of your request. You will also receive an email at the address provided with your Request #. Keep this for your records.

    Once your request is processed (accepted or rejected) you will receive another email with your Work Order #, if accepted, or explanation of why it was rejected.

Faculty/Staff

Work Order Query

    Note: You must have authorization to use this feature.
    If you do not have a User ID and password you can request one here.

To Query Work Orders:

  • Select Query Work Orders on the left side of the screen.

  • Once access has been granted, select Query Work Orders in the middle of the screen.

  • Log in using your Net ID and Password.

  • Select Facility. Press the double arrows.

  • Select the Building you are querying work orders for.

  • Leave Department defaulted to 'All Departments'.

  • Select your Start and End Dates.

  • Select between Open Work Orders, Completed Work Orders, or All Work Orders .

  • Select Repair Center.

    • Select 'All Repair Centers' if you are not sure.

  • Press the Double Arrows button. Please only click on this one time.

  • A new page will appear. This will show you all Work Orders for the selected building for the selected time period.

    If you do not see any results, try modifying your search criteria.

To View Charges:

  • Follow instructions to Query Work Orders above.

  • In your query results, find the Work Order # in question. Click on the Work Order # link.

  • In the upper right hand corner, select View Charges.

  • A new page will appear. This will show you all charges for the selected Work Order.

    Work Order information is provided in real-time and is subject to change.

Key/Access Requests

To Submit a Key Request:

  • On the left side of the screen under Key Request select Submit a Request.

  • Enter First and Last Name of the person requesting the the key(s).

  • Enter the contact persons 10 Digit Phone Number.

  • Enter the contact persons Full Email Address (_____@uwlax.edu).

    • Note: This is the email address acceptance verification will be sent to.

  • Select the Department where the key/access will be granted TO.

  • Enter your departments Account # where the key will be charged to.

  • Select Facility.

  • Select Building you are requesting access to.

  • Select Area you are requesting access to.

  • Select Request Type.

  • Select Reason.

  • If you, or someone, already has a key to this space, enter the Key Code stamped on the back of the key.

    • If not, enter a short description. (Examples: Area, Specific Room #/Closet #)

  • Enter Quantity of keys needed.

  • Enter the Keyholders full name.

  • Enter your Request in detail.

  • Press the Submit button. Please only click on this one time.

  • A new page will appear. This will have your Request # along with the details of your request. You will also receive an email at the address provided with your Request #. Keep this for your records.

    Once your request is processed (accepted or rejected) you will receive another email with your Work Order #, if accepted, or explanation of why it was rejected.

To Submit an Electronic Access Request:
    Note: This is for ID Card access to buildings outside of regular business hours.

  • On the left side of the screen under Key Request select Submit a Request.

  • Enter First and Last Name of the person requesting the the access.

  • Enter the contact persons 10 Digit Phone Number.

  • Enter the contact persons Full Email Address (_____@uwlax.edu).

    • Note: This is the email address acceptance verification will be sent to.

  • Select the Department where the access will be granted TO.

  • Enter your departments Account #.

  • Select Facility.

  • Select Building you are requesting access to.

  • Select Area you are requesting access to.

  • Under Request Type select Electronic Access.

  • Select Reason.

  • Since there is no Key Code, enter a short description.

  • Enter 1 in Quantity.

  • Enter the Keyholders (Cardholders) full name.

    • If many, use the Request field below.

  • Enter your Request in detail.

    • If you are requesting external card access for multiple users/students, please enter First Name, Last Name and Student ID # in this field, for each person.

  • Press the Submit button. Please only click on this one time.

  • A new page will appear. This will have your Request # along with the details of your request. You will also receive an email at the address provided with your Request #. Keep this for your records.

    Once your request is processed (accepted or rejected) you will receive another email with your Work Order #, if accepted, or explanation of why it was rejected.

Projects/Estimates

To Submit a Project/Estimate Request:

  • On the left side of the screen under Project/Estimate Request select Submit a Request.

  • Enter First and Last Name of the person requesting the project/estimate.

  • Enter the contact persons 10 Digit Phone Number.

  • Enter the contact persons Full Email Address (_____@uwlax.edu).

    • Note: This is the email address acceptance verification will be sent to.

  • Select Department where the work would be performed. Press the double arrows.

  • (A new page will appear.)

  • Enter a Project Name.

  • Enter the Project Description in detail.

    • Be as descriptive as possible. Items to include are: Detailed location in room, details of project.

  • Leave Project Loc. Type defaulted to Building.

  • Leave Project Type defaulted to Small Project.

  • Enter Account #(s) where project would be charged.

  • Enter Funding Year.

  • Enter Justification in detail.

    • Be as descriptive as possible.

  • Press the Double Arrows button.

  • (A new page will appear.)

  • Select Building where the work would be performed. Press the double arrows.

  • Enter the Details.

    • Be as descriptive as possible. Items to include are: Room #/Area, when the room is available, detailed location in room.

  • Press the Double Arrows button.

  • (A new page will appear.)

  • Enter the Estimated Budget (if available).

  • Enter the % Contingency in Budget (if available).

  • Enter the requested Start Date.

  • Enter the Due Date (if available).

  • Select the appropriate Check Boxes for this request to the best of your knowledge.

  • Press the Submit button. Please only click on this one time.

  • A new page will appear. This will have your Request # along with the details of your request. You will also receive an email at the address provided with your Request #. Keep this for your records.

    Once your request is processed (accepted or rejected) you will receive another email with your Work Order #, if accepted, or explanation of why it was rejected.

Student Electronic Exterior Door Access Request

To Submit a Student Electronic Exterior Door Access Request:

  • On the left side of the screen under Student Electronic Exterior Door Access Request select Submit a Request.

  • Select Student Electronic Exterior Door Access Request Form at the top of the page.

  • A download will appear in the lower left corner. Click on the download to open the spreadsheet.

  • Once in Excel, click Enable Editing in the yellow bar at the top of the screen.

  • Enter Today's Date on the spreadsheet.

  • Select the Building you are requesting access for.

    • You must select a building from the drop-down list. Free text is not allowed.

  • If requesting access to more than 1 building, select the next Building you are requesting access to.

    • Leave blank if only requesting access to 1 building.

  • Enter Requestors Name.

  • Enter Year and Semester for Access.

  • Enter each students Campus ID and Name.

  • Click File and Save As.

  • Select Browse.

  • Once the Save As dialog box opens, select Desktop.

  • Name your file.

    • You will need to remember this name in future steps.

  • Click Save.

  • Return to iServiceDesk website

  • Select the Building you are requesting access to.

  • Select the Area.

    • Please select 0000, Exterior Doors.

  • Enter Requestors Name.

  • Enter requestors Phone Number.

  • Enter requestors Email Address.

  • Leave Request auto filled as Student Electronic Exterior Door Access Request.

  • Select Choose File.

  • Once the Open dialog box opens, select Desktop.

  • Find and Select your spreadsheet saved above.

  • Click Open. You will see your file name appear to the right of the Choose File button.

  • Press the Submit button. Please only click on this one time.

  • A new page will appear. This will have your Request # along with the details of your request. You will also receive an email at the address provided with your Request #. Keep this for your records.

    Once your request is processed (accepted or rejected) you will receive another email with your Work Order #, if accepted, or explanation of why it was rejected.
